Office and Operations (m/f/d) Internship/ Working Student

Are you a proactive, organized, and motivated student looking to gain hands-on experience in operations, office management, and team culture initiatives? Join our Operations team as an Office & Operations Working Student, where you’ll play an essential role in supporting our daily operations while contributing to a positive and engaging workplace environment.

What is your Day to Day Mission:

Responsibilities include but are not limited to:

1. Administrative & Operational Support

  • Managing office supplies, equipment, and inventory
  • Supporting in sorting incoming/outgoing mail and deliveries
  • Maintaining a tidy, functional office environment
  • Implementing and refining day-to-day office procedures
  • Acting as a point of contact for external inquiries (phone, email, guests) when at the office.


2. Vendor & Facilities Management

  • Coordinating with external vendors and service providers (cleaning, maintenance, etc.)
  • Managing relationships and communication with building management by flagging and documenting issues for follow-up
  • Assisting in monitoring office utilities and equipment (printers, phones, kitchen appliances) by reporting malfunctions or needs to the Office Manager and helping with coordination when present


3. Financial & Purchasing Duties

  • Supporting the daily purchasing process by ensuring compliance with procedures and assuring packages are received in time.
  • Assisting in receiving and organizing packages delivered to the office in a timely manner.


4. People & Culture Support

  • Coordinating onboarding logistics for new hires (desk setup, welcome materials)
  • Support in planning and executing internal events (team lunches, celebrations, offsites)
  • Support with feedback collection for operational improvements.

 

Required Skills and Qualification:

  • Ability to work from our offices in Munich, Germany
  • Currently enrolled in a bachelor’s or master’s program, ideally in Business Administration, Management, Communications, Hospitality, or a related field
  • Available 2-3 days per week (Approx 16-20 hours per week)
  • Structured approach to work and project management experience
  • Strong organizational skills and attention to detail
  • Experience in setting up processes is ideal
  • Proactive and able to work independently
  • Excellent verbal and written communication skills in English and German.
  • Basic knowledge of Microsoft Office/Google Workspace (Docs, Sheets, etc.)
  • Enjoy working in a fast-paced environment with frequently changing tasks and a great team

Growth Opportunities:

Over 6–10 months, the role will expand to include:

  • Leading the planning and executing of internal events.
  • Managing customer service operations and optimizing purchasing workflows.
  • Establishing strategic partnerships with universities and stakeholders.
  • Gaining autonomy in operational functions and contributing to the team's culture, daily logistics and experience.
